Privacy Policy

Tradebooks (“we”, “us”) is a bookkeeping tool for UK self-employed tradespeople. This policy explains what data we handle, how we use it, and your rights under the UK GDPR.
What data we process
When you use Tradebooks, you may enter:
- Transaction descriptions and amounts from your bank statement
- Receipt photos for scanning
- An annual income figure for the tax estimate
- Your region (England/Wales/NI or Scotland)
We do not currently store any of this data on our servers. Everything you enter stays in your browser session and is cleared when you close the page.
Data retention
Tradebooks currently retains no personal data on its own servers. Data you enter exists only in your browser for the duration of your session and is not saved anywhere after you close the page.
Vercel, our hosting provider, retains standard infrastructure logs (IP address, request timestamp, URL path) for up to 30 days for security and performance monitoring. See Vercel’s privacy policy.
When user accounts and persistent storage are added to Tradebooks in future, this policy will be updated with specific retention periods before that feature launches.
How we use your data
Transaction descriptions, amounts, and receipt images are sent to the Anthropic API for AI-powered categorisation and text extraction. This data is transmitted securely and used only to generate the results returned to you. Anthropic’s data handling is governed by their privacy policy.
Cookies
Tradebooks uses no advertising, analytics, or tracking cookies. The site may use strictly necessary technical cookies required for core functionality. These do not require your consent under UK PECR as they are essential for the service to operate.
Your rights under UK GDPR
You have the following rights regarding your personal data:
- Right of access — request a copy of data held about you
- Right to rectification — request correction of inaccurate data
- Right to erasure (Article 17) — request deletion of your personal data
- Right to data portability — receive your data in a portable format
- Right to object — object to processing of your data
To exercise any of these rights, contact us at privacy@tradebooks.org. We will respond within 30 days. Since we currently store no personal data beyond infrastructure logs, most erasure requests will involve coordinating with Vercel.
